Who we are
P&B Perspective Ltd (“we”, “us”, “our”) is the operator of the O&M Manuals platform, available at om-manuals.co.uk. We are registered in England and Wales.

What personal data we collect
We collect and process the following categories of personal data:
- Account data: name, email address, and role (collected when a user is invited to the platform by a workspace administrator).
- Manual content: any personal data contained in the O&M manual content that workspaces and their editors upload (for example, contact names, telephone numbers, or photos). The workspace is the data controller for this content; we process it on their behalf as data processor.
- Usage data: aggregate view counts and last-accessed timestamps per project. We do not perform per-user tracking of individual page views.
- Technical data: server logs (IP address, user agent, request path) retained for up to 30 days for security and debugging purposes.
Lawful basis for processing
- Contract performance (Article 6(1)(b) UK GDPR): processing necessary to deliver the platform service to workspaces and their invited users.
- Legitimate interests (Article 6(1)(f) UK GDPR): security logging and fraud prevention.
How we use your data
- To authenticate you and maintain your session.
- To send transactional emails (invitation links, password-reset links, version-published notifications).
- To operate, maintain, and improve the platform.
We do not use your data for advertising, profiling, or automated decision-making.

Data retention
Account data is retained for as long as the account is active. If a workspace relationship ends, manual data remains accessible in read-only mode for a grace period of 12 months, after which it is deleted on request.
Server logs are deleted after 30 days.
Cookies
We use one strictly-necessary cookie to maintain your authenticated session. We do not use analytics, advertising, or tracking cookies. See our Cookie Policy for details.
Your rights
Under UK GDPR and the Data Protection Act 2018, you have the right to:
- Access the personal data we hold about you.
- Rectify inaccurate personal data.
- Erase your personal data (“right to be forgotten”) where applicable.
- Object to or restrict certain processing.
- Receive your data in a portable format.
- Lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.

Security
We implement technical and organisational measures to protect your data, including encrypted connections (TLS), hashed passwords (argon2id), and access controls enforced at every request.
Changes to this policy
We may update this policy from time to time. We will notify workspace administrators of material changes by email. The “Last updated” date at the top reflects the most recent revision.
